How it works
From club setup to weekly use
TLT Tracker follows the way a Pathfinder club already runs its Teen Leadership Training program. Here is the normal path, from the day a club is created to the reports at the end of a year.
- 01
Your club is set up
A club is created with its own private space, its own logo and a starting copy of the operation tracks and default point values. Nothing is shared with any other club.
- 02
Admins invite staff, mentors and TLTs
There is no open sign-up. An admin invites people by email or hands out a club invite code. Each person gets one of the roles the app supports — admin, mentor, or TLT participant — and sees only what that role allows.
- 03
TLTs are added and assigned tracks
Admins add each teen to the roster with their grade level and start them on one or more operation tracks. A teen can carry several tracks at the same time, each with its own checklist.
- 04
Admins assign mentors to specific TLTs
Each mentor is linked to the teens they supervise. From then on a mentor's view contains only those teens: their progress, their submissions, their comment threads.
- 05
Attendance is taken at the meeting
During the meeting, an admin opens the attendance screen, works down the club list and marks present, uniform, participation and communication for each teen. It takes a phone and a couple of minutes.
- 06
Requirements get checked off as teens complete them
Admins tap into a teen's track and check off completed activities, optionally recording the location or event. Completed items lock behind a confirmation dialog so nothing is undone by accident. When a teen finishes a whole track, an admin can sign the entire track off at once.
- 07
Work done elsewhere gets verified
For anything the club did not directly witness, the teen writes up what they did and sends a sign-off link to the adult who oversaw it. That person approves or denies with comments, and the request lands in the admin sign-off queue for a final decision.
- 08
Honors, service hours and portfolio pieces are logged
Honors earned, community service hours with their verifier, and uploaded certificates or photos are all recorded against the teen and feed the club's point totals.
- 09
The club stays in touch between meetings
Staff post assignments and announcements; teens submit work and reply in comment threads; notifications tell people when something needs their attention.
- 10
Admins review progress and report
At any point an admin builds a report from the fields they care about — attendance, points, uniform, track items completed — reads it on screen and exports CSV for conference paperwork or a leadership meeting. Incentives can be issued at the point thresholds the club has chosen.
What you need to run it
A web browser. TLT Tracker is mobile-first, so most leaders use it on a phone during meetings and add it to their home screen; it works the same on a tablet or desktop. There is nothing to install and nothing to sync between leaders.
