Privacy policy

TLT Tracker stores records about minors on behalf of Pathfinder clubs. Everything in the application sits behind authentication, and none of it is public, indexed or shared between clubs.

What information is stored

Only what a club enters in order to run its TLT program. Typically that includes:

  • Account details for club members: name, email address and role
  • Participant records: name, grade level, tracks, completed requirements and sign-off details
  • Attendance, uniform, participation and communication entries per meeting
  • Honors, community service hours and merit point totals
  • Assignment submissions, portfolio uploads, comments, announcements and notifications
  • Recommendation and task sign-off submissions from people a participant invited by link

No payment information is collected in the application, and no advertising or third-party tracking profiles are built from usage.

Who can see it

Access is enforced by role and by club, at the database level rather than by hiding things in the interface:

  • Admins see and manage records within their own club only.
  • Mentors see only the participants an admin has assigned to them, and cannot edit records.
  • Participants see their own record.
  • No club can reach another club's data.

Nothing is public or searchable

Application pages require a signed-in account, carry noindex directives, and are excluded from the sitemap. No page on this public website, and no structured data or social preview tag on it, is generated from club or participant information.

Links shared with people outside the club

Participants can generate links so an outside adult can submit a recommendation or verify a completed task. Those links grant only the ability to submit that one form — they do not open a participant's record or any other club data.

Retention, correction and removal

Clubs own their own records. Admins can correct or remove entries within their club at any time. Parents, guardians and participants who want information corrected or deleted should contact their club's administrator, who can act on it directly or escalate to the people who administer TLT Tracker.

Security

Accounts are created only by invitation or club invite code; there is no open sign-up. Data is transmitted over encrypted connections and stored with per-club access rules. No system is perfect, and clubs should still apply normal care about who is given an admin account.

If this policy changes materially, the change will be reflected on this page. Questions about privacy can be sent through the request form on the home page.
